2025 NSW Seniors Festival Gala Concerts and Expo

The Challenge

When TMS was awarded the four-year contract with the NSW Department of Communities and Justice (DCJ) to manage traffic and transport operations for the NSW Seniors Festival Gala Concerts and Expo at Sydney International Convention Centre, we understood our role was more than simply getting people to and from the venue. We were part of their day, and we wanted their journey to be just as enjoyable as the event itself. With over 8,000 senior patrons attending each concert, many requiring additional support and assistance to move around, the challenge extended beyond logistics to creating a comfortable and memorable experience that would complement the festival itself.

The Sydney International Convention Centre is situated on a site with only one main access road, and over 90% of attendees relied on the adjacent Light Rail for their transportation. Our main challenge was to integrate multiple transport modes into one smooth, stress-free experience, making sure that every guest felt welcomed, included and valued from the moment they engaged with the event.

The Approach

For the NSW Seniors Festival, we approached the challenge with our signature service-first mindset. Our comprehensive planning process involved detailed stakeholder engagement across all transport modes and venues, ensuring that every element of the passenger journey was coordinated and integrated from the outset.

We conducted multiple Traffic and Transport Stakeholder working group meetings, culminating in a final walkthrough and site visit that allowed us to refine our operational plans based on real-world conditions. This collaborative approach ensured that all documentation was thoroughly reviewed, refined, and ultimately endorsed by key stakeholders before implementation.

When the Festival arrived, our on-the-ground team of more than 15 transport staff, supported by enthusiastic volunteers, sprang into action. Over 60 buses ran each day, including DCJ chartered services, privately chartered services, walking routes, that all integrated with the public transport systems creating an efficient Transport Guidance Scheme (TGS).

The Results

Efficient Shuttle Operations

For the first time in the Festival's history, all patrons using transport services arrived before the concert start time, eliminating the stress and disappointment that can occur when attendees miss part of an eagerly anticipated event.

Effective Egress Operations

Equally impressive was our post-event performance, with the venue cleared within 90 minutes after each concert session across both days. This efficiency meant that patrons could conclude their festival experience without the frustration of lengthy delays, preserving the positive memories created during the performances themselves. Throughout both days of operations, we maintained a perfect safety record with no incidents reported as a direct result of our transport operations.

Client Praise

TMS was praised by the Department of NSW Communities and Justice in the event debrief, with the client saying they had never experienced such professionalism and attention to detail in over 30 years of operating the Festival, validating our ability to transform what could be a logistical afterthought into an integral part of the event experience.
