The Lions Club International Convention is a large-scale global event, attracting more than 12,000 international delegates to Melbourne over a multi-day program that included convention sessions, VIP movements and a major parade activation.
The transport task was complex and multi-layered. Delegates were spread across multiple hotels, with services required to
support general attendees, VIPs, speakers and delegates with mobility requirements. Over a nine-day operational period, transport operations involved more than 70 vehicles
daily, peaking at 90 vehicles and resulting in more than 5,000 vehicle movements.
In addition to scale, the operation required close coordination with multiple government and regulatory stakeholders,
including the City of Melbourne, Department of Transport and Victoria Police. Integrating public transport options, managing traffic impacts, and mitigating risk in a busy city environment were critical to ensuring the event ran smoothly and safely.
TMS was engaged to deliver end-to-end project management and on-ground delivery of shuttle, parade and VIP transport services. From the outset, the focus was on creating an integrated transport system that balanced efficiency, safety and accessibility while remaining responsive to the evolving needs of a major international convention.
Working closely with Lions Clubs International, ETA (USA) and local authorities, TMS coordinated traffic and transport planning, vehicle procurement and the establishment of a trusted network of local transport providers. Detailed route design and scheduling ensured efficient connections between airports, hotels, parade routes and event venues, while accommodating the specific requirements of VIP movements and accessible transport services.
A strong emphasis was placed on communication, staff deployment and real-time operational oversight. Trained on-ground teams, supported by local wayfinding personnel, assisted delegates throughout the city, providing guidance while adding a distinctly local, welcoming presence to the event. Risk management was embedded throughout the operation, with proactive planning and mitigation strategies implemented to address potential issues before they arose.
The transport operation for the 2024 Lions Club International Convention was delivered seamlessly, supporting the safe and efficient movement of thousands of delegates across Melbourne. VIPs, speakers and attendees arrived at events, parade activities and venues on schedule, while accessible transport solutions ensured all participants, regardless of mobility, could fully engage in the convention.
Through strong stakeholder collaboration, effective planning and experienced on-ground delivery, TMS exceeded the expectations of the client and their partners. The success of the operation reinforced TMS’s ability to manage complex international events at scale, combining local knowledge with disciplined project management to deliver transport solutions that enhance the overall event experience.
